Privacy Policy

This Privacy Policy applies to the Interview Intel AI web application and mobile app (collectively, the "Service") operated by Interview Intel AI. It explains what information we collect, how we use it, and your rights regarding that information.

By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

a) Information you provide directly

  • Account information — your email address when you register or join the waitlist.
  • Profile information — name, job title, or other details you optionally provide.
  • Resume content — text or documents you upload or paste into the Resume Builder or ATS Scanner features.
  • Interview responses — text and audio you provide during mock interview sessions.
  • Job search data — job applications, outreach drafts, salary data, and notes you enter into the platform.
  • Payment information — billing details processed by our payment provider, Stripe. We never store your full card number; Stripe handles all payment data directly.
  • Enterprise inquiry information — name, organization, and message if you submit a contact form for Enterprise pricing.

b) Information collected automatically

  • Usage data — pages visited, features used, AI prompt counts, and interaction timestamps.
  • Device information — browser type, operating system, and device type.
  • Log data — IP addresses, request URLs, and error logs retained for up to 90 days for security and debugging.
  • Cookies and local storage — session tokens and user preferences stored in your browser. We do not use third-party advertising cookies.

c) Information we do NOT collect

  • We do not collect precise geolocation data.
  • We do not access your device contacts, camera, or microphone beyond the explicit mock-interview audio feature (which requires your active permission).
  • We do not build advertising profiles or sell your data to advertisers.

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and subscription.
  • Provide, personalize, and improve the Service — including AI-generated interview guides, resume feedback, and salary intelligence.
  • Process payments and manage your subscription tier via Stripe.
  • Send transactional emails (account confirmation, password reset, subscription receipts) and, where you have opted in, product update emails via Resend.
  • Monitor usage to enforce fair-use limits (e.g., AI call quotas per subscription tier).
  • Detect and prevent fraud, abuse, and security incidents.
  • Comply with legal obligations.

We do not use your resume content or interview responses to train AI models without your explicit consent.

3. Third-Party Services

We share data with the following third parties only to the extent necessary to operate the Service:

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

4. Data Retention

  • Active accounts — your data is retained for as long as your account is active.
  • Deleted accounts — upon account deletion request, we delete your personal data within 30 days, except where we are required by law to retain it (e.g., billing records for up to 7 years).
  • Log data — server logs are retained for up to 90 days.
  • Waitlist entries — retained until you request removal or the waitlist closes.

5. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Correction — request correction of inaccurate or incomplete data.
  • Deletion — request deletion of your personal data ("right to be forgotten").
  • Portability — request your data in a machine-readable format.
  • Opt-out of marketing emails — use the unsubscribe link in any marketing email, or email us directly.
  • Restriction — request that we limit processing of your data in certain circumstances.

California residents (CCPA): You have the right to know what personal information is collected, to opt out of the sale of personal information (we do not sell your data), and to non-discrimination for exercising your privacy rights.

EEA/UK residents (GDPR): Our legal basis for processing your data is performance of a contract (to provide the Service), legitimate interests (security, fraud prevention), and your consent (marketing emails). You have the right to lodge a complaint with your local supervisory authority.

6. Children's Privacy

The Service is intended for users who are 18 years of age or older. We do not knowingly collect personal information from children under 13 (or under 16 in the EEA). If you believe a child has provided us with personal information, please contact us immediately at quincyr@squarebushservices.com and we will delete it promptly.

7. Data Security

We implement industry-standard security measures to protect your data, including:

  • HTTPS/TLS encryption for all data in transit.
  • Encrypted database connections.
  • Hashed session tokens — we never store passwords in plain text.
  • Access controls limiting which personnel can access production data.

No method of transmission over the internet is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that affects your rights, we will notify you within 72 hours as required by applicable law.

8. Cookies and Tracking

We use the following types of cookies and browser storage:

  • Session cookies — required for login and authentication. These expire when you close your browser or after 7 days of inactivity.
  • Preference storage — local storage for theme (light/dark mode) and UI preferences.
  • Service worker cache — for PWA offline functionality. This stores app assets, not personal data.

We do not use analytics trackers (e.g., Google Analytics), advertising pixels, or cross-site tracking cookies.

9. International Data Transfers

Interview Intel AI is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer. We ensure that any third-party providers we use offer adequate data protection in line with applicable law.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Effective date" at the top of this page and, where the changes are significant, notify you by email or via a notice within the Service. Your continued use of the Service after changes become effective constitutes acceptance of the updated policy.
